ESSENTIAL JOB RESPONSIBILITIES include but are not limited to:
▪Supports and demonstrates IMA’s core values

▪Provides managerial oversight and direction of administrative and facilities services delivered across the region; Supervises administrative services team.
▪Collaborate with local leadership teams to ensure office operations are implemented and aligned to regional goals, policies and procedures. Recommends changes in programs and procedures that increase efficiency and effectiveness of services provided.
▪Familiar with all tenant requirements in each office location including basic lease terms, facilities services provided, parking, etc. Helps to promote good tenant landlord relations. May serve as local project lead for tenant improvements and office moves.
▪Ensures local incident response information is up to date; trained on Preparis; understand general office safety regulations.
▪Approves vendor selections and oversees contract process for goods, services and equipment used by all local offices. Ensures delivery of vendor services is per contract and works with procurement teams to negotiate pricing, as needed.
▪Responsible for managing the budget created for regional team.
▪Participant on local fun committees; serves as “culture maven” across the region.
▪May serve as lead coordinator for regional events such as Town Hall meetings, on- and off-site strategic leadership meetings, seasonal all staff events. Advises administrative teams on event planning processes and level of service delivered by team. Collaborates with marketing and
communications teams for annual charity events.
▪Coordinates internal announcements, memos, and updates to keep all associates informed about company news and initiatives in partnership with Internal Communication teams and other appropriate stakeholders.
▪Performs miscellaneous duties and projects assigned
▪Performs functions of the role on-site up to a full-time basis.

Essential Job Responsibilities
•Demonstrates and supports IMA’s core values in all aspects of work.

•Provides strategic oversight and leadership for administrative and facilities services across the region; directly supervises Administrative Services Leads.
•Partners with local leadership teams to ensure office operations align with regional goals, policies, and procedures. Recommends and implement improvements to enhance service efficiency and effectiveness.
•Maintains familiarity with tenant requirements at each office location, including lease terms, facilities services, and parking. Promotes positive landlord-tenant relationships and may lead local projects related to tenant improvements and office relocations.
•Ensures readiness for incident response, maintains up-to-date emergency information, is trained on Preparis, and understands general office safety regulations.
•Approves vendor selections and manages the contract process for goods, services, and equipment across local offices. Ensures vendor performance aligns with contract terms and collaborates with procurement teams to negotiate pricing when necessary.
•Manages the regional team budget, ensuring responsible and strategic use of resources.
•Actively participates in local engagement initiatives, including fun committees, and serves as a “culture maven” to promote a positive and inclusive workplace culture.
• Leads coordination of regional events, such as Town Hall meetings, strategic leadership offsites, and seasonal all-staff gatherings. Advises administrative teams on event planning and collaborates with marketing and communications teams for annual charity events.
•Coordinates internal communications, including announcements, memos, and updates, in partnership with Internal Communications and other stakeholders to keep associates informed and engaged.
•Performs additional duties and special projects as assigned.
•Works on-site up to a full-time basis, as required by the role.

REQUIRED EXPERIENCE AND SKILLS include but are not limited to:
▪Three to five years of similar or related experience
▪Bachelor’s degree in business administration, Business Management or related field preferred, but
not required
▪Minimum three years of progressive managerial/administrative level experience required
▪The ideal candidate will be located in Bellevue, WA
▪Excellent time management skills and ability to multi-task and prioritize work
▪Excellent attention to detail
▪Highly resourceful with the proven ability to work independently

▪Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
▪Sound judgment, maturity, and proven ability to handle sensitive and confidential information with the utmost discretion
▪Excellent communication skills including superior verbal, writing, editing, proofreading, and presentation skills
▪Ability to connect the dots and think critically while providing a proactive approach to problem solving
▪High level of proficiency within Microsoft Office Suite (Outlook, Work, Excel and Power Point)
▪Ability to travel to offices across the region as needed
▪Ability to lift to 25 pounds

Salary Range
$75,000—$85,000 USD
